We Replaced a Paper Register with a 19,000-Line POS & CRM System
Clean Kloths Drycleaners was running on paper slips and memory. We built them a complete tablet-first point-of-sale and customer management system — with QR tracking, WhatsApp notifications, and real-time business reporting.
The Challenge
The Client: Clean Kloths Drycleaners (SN Enterprises) — a busy dry cleaning shop serving their local community. Every order was handwritten on a paper slip. Customer records lived in the owner's head. There was no way to track which garments were at which stage, no automated customer notifications, and no visibility into daily revenue without manually tallying the register.
The Problem: Paper doesn't scale. Lost slips meant lost garments. Customers called repeatedly asking "is my order ready?" Staff had no system for tracking the cleaning pipeline. The owner couldn't answer basic questions like "which village brings us the most customers?" or "what's our most profitable service?"
Pain Point #1: No Order Tracking
Paper slips got lost, smudged, or misfiled. When a customer asked about their order, staff had to physically search through stacks of paper.
Pain Point #2: Manual Customer Communication
Every "your clothes are ready" message was a manual phone call or text. During busy periods, notifications were delayed by hours or forgotten entirely.
Pain Point #3: Zero Business Intelligence
Revenue, popular services, customer geography, peak hours — all unknown. Business decisions were made on gut feel because the data simply didn't exist in usable form.
Pain Point #4: Pricing Chaos
96 different garments across men's, women's, and mixed categories — each with different pricing models (fixed, range, per-kg, per-piece). Staff memorised prices or checked a worn rate card taped to the counter.
The Solution
We built clean-kloths-crm — a completely custom WordPress plugin that functions as a full shop management system. Not a theme modification. Not a collection of plugins bolted together. One purpose-built codebase: ~19,200 lines of PHP, 2,800 lines of JavaScript, 9 custom database tables.
Tablet-First POS Order Capture
A full-screen "New Order" interface designed for counter tablets — 48px touch targets, phone-number-first customer lookup (type 10 digits, existing customer auto-fills), two-step garment picker (category → garment → service), photo attachments, discount handling, and draft autosave. One AJAX endpoint creates the order across 4 database tables in a single SQL transaction.
QR Code Order Tracking
Every order generates a QR code sticker (54mm) for the garment bag. Customers scan it to see live order status on a public tracking page — no login needed. The shop uses the same QR with a camera scanner to instantly pull up orders. Tracking URLs use unguessable 48-character tokens, not sequential order numbers, so customers can't snoop on other orders.
Automated WhatsApp Notifications
Order status changes (received → cleaning → ready → delivered) automatically trigger WhatsApp messages using editable templates. Two sending modes: zero-cost deep links (staff taps send) or full Meta Cloud API automation. The shop went from manual phone calls to instant automated updates.
Business Intelligence Dashboard
Real-time reports the owner never had before: revenue overview with period comparisons, order volume trends, village-level customer geography analysis, product mix breakdown, payment status tracking, and CSV/Excel exports. The 96-item rate card, UPI payment integration, thermal receipt printing, and garment tag printing are all built in.
Role-Based Staff Access
Two roles: Administrator (full access) and Counter Worker (can take orders and update statuses, but can't see reports, change settings, or manage users). Every action is capability-checked server-side, with nonces on all requests and prepared statements throughout — security designed for a real business handling real customer data.
